Auto-Pay allows you to manually collect funds from customers that are enrolled in Auto-Pay on your schedule. Before you can run Auto-Pay, you will need to make sure that you have followed the steps in the Auto-Pay setup process.
To run Auto-Pay, go to More > Auto-Pay.
There are three options.
1. Charge by Tuition — In this case, tuition is what the system has calculated as their current tuition. When you run Auto-Pay for Just Tuition, the system does not check the current balance on a student's account; it charges the calculated tuition amount for that student — even if they have a $0.00 balance.
2. Charge by Account Balance - This will attempt to collect the entire amount the customer owes you.
3. Tuition or balance, whichever is less
Once you make the selection of what you want to attempt to collect, you can then decide what percentage of that amount you want to collect. This is used in special cases where you want to prorate a month.
For example: If you only hold 2 classes in September, you could specify that you only want to collect 50% of the tuition that is due for that month.
If you post partial tuition at 50%, you should also run Auto-Pay for the same percentage amount (50%) when running Auto-Pay for Just Tuition.
If you post partial tuition and run Auto-Pay at 100%, it will charge the parent the full calculated tuition amount.
**You may also specify a Cell # for the system to send you a text message when the job has been completed. In cases where you may have more than 500 to 1,000 accounts enrolled in Auto-Pay, the job could be split into more than one job. In this case, you could receive more than one text message regarding the status of your job.
You can now identify who you want to charge. By default, everyone that has either a balance or Active Tuition, based on your selection, WILL be checked. If you uncheck the checkbox beside their name, they WILL NOT be charged.
This list will show everyone enrolled in Auto-Pay. Some accounts do not have students enrolled in active classes, or they may not owe anything. However, this does allow you to see exactly who will be charged, how much, and their current balance. When you have made your changes, click the Go to Next Step button.
This screen will give you one last chance to review the request before the job is released. Once you are sure about the charges, you can click I have read this and understand to acknowledge that you are ready to charge the accounts.

Clicking the Process Now button will release the job to the system. You will be taken to a Status screen where you can monitor its status while it is being processed.
The job status indicator will be gray while waiting to be processed. Once the job starts processing, you will see a spinning dot. This will only appear if you Refresh the screen.
After all the records have been processed, the status will change to Complete.
This only means that the job is done. It does not mean that everyone was processed successfully.
Click on the Job Date link to view the details of the job. You will see which accounts were successfully charged and which were not and why.
