You can log a refund from the student Transactions page after a payment has been applied to the account. Logging a refund doesn't actually refund the transaction - this is just a log of the transaction refund. To log a refund, first, go to the Student Transactions page. One way to do that is to go to Students, pick the student, and click Transactions in the left menu.
Find the payment in the Journal History section and click the grey gear to the right of the transaction and select Log Refund.
Fill in the popup as needed; most of the fields should be populated for you. Then click Log Refund.
The balance is then adjusted, and that refund will be reflected in your income reports. The charge that the payment had been intended for will still show on the log, if this fee is still valid and due to be collected, you can leave it as is. If the funds are no longer owed, the fee can be deleted or you may choose to post a Non - Revenue Credit if you'd prefer to keep track of the fee.
