Studio Pro is always evolving, and several recent updates are designed to make scheduling, attendance, and day-to-day studio management even easier.
In this Learning Lab, we walked through some of the latest Studio Pro updates, including appointment conflict checking, new teacher calendar and availability options, attendance improvements, required skills for private lessons, and enhancements to recurring appointments.

- Prevent scheduling conflicts when booking appointments and private lessons. (Use the new availability check to identify conflicts involving teachers, students, rooms, and schedules before booking.)
- Give teachers more control over their schedules. (Learn how teachers can view their calendars, book appointments, and manage their own available hours through Class Manager when enabled.)
- Use the latest attendance improvements. (Quickly take, edit, and review attendance from Class Manager with updated attendance history and navigation.)
- Set required skills for appointments and private lessons. (Control which students are eligible to book specific services based on skills or other qualifications you define.)
- Simplify recurring appointment scheduling. (Create recurring services, select the frequency and days, check availability, and easily edit individual appointments or an entire series.)
- Take advantage of additional appointment enhancements. (Assign multiple teachers to a service, manage eligible students, archive services, and more.)
Q&A
Q: Can I hide a private lesson from other students or make it available to only one specific student?
A: Yes. You can use Eligible Students to specify which students can access a private lesson. If only one student is marked as eligible, only that student should see the lesson in the Parent Portal. You can also turn off online booking for a private lesson if you do not want parents to view or book it themselves.
Q: Can I limit certain students to specific teachers for solos, choreography, or private lessons?
A: Yes. You can use Eligible Students to control which students can book with a particular teacher. You can also use the new Required Skills feature. Skills can represent physical skills, such as having a back handspring, or other qualifications, such as "only trains with Miss Sally" or "has taken ballet for three years."
Q: Do teachers need available hours entered in order to book private lessons?
A: Yes. Teachers currently need available hours entered in the system. These hours help Studio Pro check for scheduling conflicts and determine which times can be made available for booking.
If needed, you can enter broader availability and then edit individual appointments as necessary.
Q: Can parents see a teacher's exact available hours?
A: No. Students and parents do not see the teacher's exact availability. The system uses those hours to determine the broader times available for booking.
Q: Does the appointment confirmation email include the teacher's name?
A: Yes. The teacher's name can now be displayed on the confirmation email.
Q: Will recurring private lessons automatically skip holidays or studio closures?
A: Recurring private lessons may still be scheduled during those dates. You can edit or delete individual appointments that fall during a closure.
Another option is to create one recurring series through the date of the closure and then create a second series beginning after the closure.
Q: Can teachers book appointments through Class Manager?
A: Yes. Teachers can book appointments through Class Manager. They will still need appointment availability entered so Studio Pro can check for conflicts and determine the appropriate booking times.
Teachers can also book appointments through Class Manager even if online booking has been turned off for parents.
Q: Can teachers see the studio calendar in Class Manager?
A: Yes. Teachers can now view the studio calendar in Class Manager. Studios have the option to turn this functionality on or off.
Q: Can teachers update their own available hours?
A: Yes. Studios can enable a Class Manager setting that allows teachers to edit their own available hours. You can also choose whether you would like to receive an email notification when a teacher changes their hours.
Q: Will a teacher's private lesson pay rate appear in Class Manager?
A: Yes. If a private lesson pay rate has been set for the teacher, it will appear in Class Manager once the lesson is completed. Teachers will still need to log the time through the time clock.
Q: How do I remove a private lesson or service that we no longer offer?
A: If you no longer offer the service, you can archive it. Archiving prevents the service from being available for future bookings without affecting appointments that have already been scheduled.
If you need to cancel an existing appointment, you can delete the individual appointment. For recurring appointments, you also have the option to delete the entire series.
Q: Should I use appointments/private lessons for a pop-up class?
A: If the pop-up is for multiple students and you want families to be able to register themselves, it is generally better to create it as a one-off class rather than an appointment.
