This Q&A provides an overview of how Zapier integrates with Studio Pro. Learn how to set up automations, connect external tools, and streamline your studio’s daily workflows.
Getting Started with Zapier
Q: What is Zapier?
A: Zapier is an automation tool that connects Studio Pro with thousands of other apps such as Gmail, MailChimp, Slack, Google Sheets, and QuickBooks Online. It allows you to automate tasks like sending welcome emails, updating reports, or notifying staff whenever certain events happen in Studio Pro.
Q: Which Studio Pro plans include Zapier?
A: Zapier integration is available on Premier and Elite tiers.
Q: How does Zapier connect to Studio Pro?
A: Zapier acts as a “bridge” between Studio Pro and another app. Each automation, called a Zap, starts with a trigger in Studio Pro (for example, a new student added), and performs an action in another app (for example, adding that student to MailChimp).
Q: Can Zapier send information into Studio Pro?
A: Currently, Studio Pro can only send data out through Zapier, not receive it.
Q: How do I create my first Zap?
A:
Create an account at Zapier.com.
Click Create Zap.
Choose Studio Pro as the trigger app.
Select a trigger (e.g., “New Student Added”).
Connect your Studio Pro account.
Choose an action app (e.g., MailChimp, Google Sheets).
Map your fields, test your Zap, and turn it on.
Accounting and Financial Integrations
Q: Can Studio Pro connect to QuickBooks Online through Zapier?
A: Yes. Studio Pro can send financial data, such as new payments, refunds, and debits, to QuickBooks Online.
Q: Does Zapier work with QuickBooks Desktop (e.g., 2016)?
A: Zapier only integrates with QuickBooks Online. Desktop versions of QuickBooks are not compatible with Zapier’s cloud integrations.
Q: Can Studio Pro connect with other accounting tools such as Xero or Sage?
A: Yes! Xero and Sage are also options to connect to via Zapier.
Q: Do autopay transactions count toward my Zapier task limit?
A: Yes. Each time a Zap runs successfully (e.g., sending a payment record to QuickBooks), it counts as a task. High-volume autopay studios may need a higher-tier Zapier plan.
Marketing and Lead Management
Q: How can I automatically follow up with parents who created an account but didn’t register for a class?
A: Use the New Parent or New Lead trigger in Zapier. Add a time delay, then send a follow-up email through MailChimp or ActiveCampaign to encourage registration.
Q: Can I segment families by program type (dance, music, camp) and send custom follow-ups?
A: Studio Pro does not currently support automated segmentation by class category through Zapier. However, you can apply filters or tags in your connected CRM or email platform to achieve segmentation there.
Q: Can I automate birthday or milestone messages?
A: Yes. Set a trigger for a specific date or event in your CRM (such as a student’s birthday) to send automated messages or coupons through MailChimp, Constant Contact, or Gmail
Automation Logic and Triggers
Q: What is the difference between a “Zap” and a “Task”?
A: A Zap is the automation workflow you build (for example, “When a new lead is created in Studio Pro, send an email”). A Task is every time the workflow runs successfully. For example, if one Zap runs 100 times in a month, that’s 100 tasks.
Q: What are “Instant” triggers like Send Classes, Send Leads, or Send Parents?
A: Instant triggers push data from Studio Pro to Zapier in real time. These are ideal for immediate actions, such as sending a welcome email when a parent registers or alerting staff when a student enrolls.
Q: What triggers are currently available in Studio Pro?
A: Current triggers in Studio Pro are:
- Class Added
- Class Dropped
- New Non-Revenue Credit
- New Debit
- New Lead
- New Parent
- New Payment

Q: Is there a trigger for class card expiration or completion?
A: Not yet, but it’s on the product team’s radar for future development.
Q: Can Zapier consolidate absences from Studio Pro?
A: There is no current absence trigger. However, you can export attendance data manually and use Zapier with Google Sheets or Excel for custom absence tracking.
Q: Can Zapier connect with Studio Sync, Studio Hub, or Get More Students?
A: Zapier can only connect with platforms that have their own Zapier apps. If you don't see your platform listed, confirm with the specific platform what the available connection is titled.
For example, Studio Sync is listed as 'Lead Connector' inside Zapier.
Q: Can Zapier track online purchases or returns from Studio Pro?
A: Zapier can record new payments or transactions if they trigger an event in Studio Pro. Returns are not yet available as triggers, but can be tracked manually through reports.
Zapier Account and Usage
Q: How does Zapier pricing work?
A: Plans are based on tasks, not Zaps. You can have multiple Zaps running, but each successful action counts toward your task limit.
Q: What’s the difference between 100 tasks and 100 Zaps?
A: You could have multiple Zaps, but if each runs frequently, each successful run counts as one task. For example, one Zap that runs 100 times = 100 tasks.
Q: Can I connect multiple apps at once?
A: Yes. You can chain multiple steps within a single Zap. For example:
Studio Pro → Zapier → Google Sheets → Slack → Email.
Q: Are all Studio Pro Zaps listed somewhere?
A: Yes. You can view all Studio Pro triggers in Zapier by searching for “Studio Pro.” You can also find them listed in our Help Center article “Zapier Triggers for Studio Pro.”
Q: Can I create new triggers or custom Zaps?
A: You can build fully custom Zaps using available triggers and actions, but you cannot create new triggers that aren’t already available.
