The Studio Manager app allows admins and teachers to manage classes, attendance, communication, and payments from their mobile devices. Below are the most frequently asked questions and their answers from the April Learning Lab session.
General App Information
Q: Which Studio Pro app should staff and teachers use?
A: Staff and teachers should use the Studio Pro app with the white background. The blue background app is for parents only.
Q: How do admins and teachers log in?
A: Admins log in with credentials under More → Settings → Users. Teachers log in using the credentials listed under More → Teachers and Staff.
Admin Access and Features
Q: What can admins do in the Studio Pro app?
A: Admins can manage students, parents, classes, leads, and teachers. They can also post tuition, send emails, use chat, and process payments through Tap to Pay. The app includes a lot of the same features as the web platform.
Q: Can admins post tuition from the app?
A: Yes. Admins can post tuition under More → Post Tuition. This includes the same options as on the web version, such as transaction codes, due dates, and posting selections.
Tap to Pay and Point of Sale
Q: What is Tap to Pay?
A: Tap to Pay allows you to accept credit card payments directly from your phone. Hold the card near your device to process the transaction. This feature is available for student transactions and point-of-sale purchases.
Q: Is Tap to Pay cheaper than manually entering a card?
A: Yes. Tap to Pay uses your terminal processing rate, which is lower than manually typing in a card number.
Q: Is Tap to Pay cheaper than swiping a card?
A: No. Tap to Pay and swiping are both card-present transactions and share the same lower rate.
Q: Can parents use Tap to Pay in the parent app?
A: No. Tap to Pay is only available through the Studio Manager (staff) app, not the Parent Portal.
Communication and Studio Chat
Q: How does the chat feature work in the Studio Pro app?
A: If your studio is on the Premier or Elite plan, you can use Studio Chat to message teachers, parents, or entire groups. To message a group, type “@group” followed by the group name. You can also attach files, images, or PDFs.
Q: Who can use the chat feature?
A: Chat permissions are customizable. Admins can choose who has access, such as limiting it to admins or extending it to teachers and parents.
Teacher Access and Permissions
Q: What do teachers see when they log in?
A: Teachers only see the classes they are assigned to. They can take attendance, view student contact information, access lesson plans, view costumes, and upload class files if those permissions are granted.
Q: Can substitute teachers take attendance?
A: Yes. Add the substitute as a backup instructor for the class so they can access and take attendance.
Q: Why can’t a teacher take attendance in the app?
A: The class may not be scheduled for that day. Teachers can adjust the date in Class Manager by selecting the gear icon and applying a new date.
Q: Can teachers upload lesson plans, music, or files?
A: Yes. Teachers can upload and share music or files from the class page. For videos, use unlisted YouTube links since Studio Pro does not host videos directly.
Q: Can teachers log their work hours or payroll time?
A: Yes. Teachers can enter time under the Clock icon → Mobile Time Entry.
