In Studio Pro, you can manage private lessons and appointments. They can be booked online in the parent portal or add appointments directly from the Appointment Calendar.
Before You Begin:
Ensure you have the proper permissions — by default, only Administrators can set up Private Lessons.
If you want Super Users to also be able to set up Private Lessons, first update their permissions.
Step 1: Set Teacher Availability
1. Go to More > Teachers & Staff > Select the Teacher and click on Appointment Hours.
2. Add the days/times they’re available for private lessons, then save.
💡 Tip: A teacher must have active availability or the service will not appear to parents.
Step 2: Create a Private Lesson Service
1. Navigate to More > Appointments & Private Lessons > Appointment Actions > Add New Service
2. You will be asked to complete basic information about your service. Your students will make appointments for this service.
Step 3. Assign a Teacher to the Private Lesson
Within the service you just created, select a Teacher from the Drop-Down Menu
💡 Tip: If a teacher is not assigned, parents won’t see any available time slots.
Step 4: Enable Booking in Parent Portal
1. Check 'Customers can book this service online' if applicable.
2. Check 'Require Payment' if you require upfront payment.
5. Verify Everything Is Working (Recommended)
Check Parent Portal preview
1. Register > Private Lessons & Appointments
Make sure the service appears under Private Lessons.
Book a Test Lesson
Make sure:
1. The teacher’s availability shows correctly
2. Price + duration appear correctly
3. Confirmation emails/receipts work as expected
Common Questions & Troubleshooting
Q: I don’t see the service in the Parent Portal.
A:
Ensure a teacher is assigned to the service.
Confirm that teacher availability is set.
Make sure “Show in Parent Portal” is enabled.
Q: There are no available time slots even though the service shows.
A: The teacher may have no availability set, or availability might conflict with other private lessons.
Q: My staff member cannot create a private lesson.
A: They probably don’t have the required permissions. By default, only Administrators can create private lessons.
Q: Can I assign rooms or locations to private lessons?
A: Yes — after creating the service, open it and assign the room/location under the “Rooms this service can be provided in” setting.
Q: Can a private lesson be booked for multiple students at once?
