Use Parent Groups and Student Groups to control which accounts are included in Auto-Pay and which balances are charged.
Prerequisites
Parent Groups and/or Student Groups are created
Students and/or parents are assigned to groups
Run Auto-Pay with Group Filters
Navigate to More > Auto-Pay.
Select how you want to charge accounts:
Just Tuition
Full Account Balance
Tuition or Balance (whichever is less)
Charge by Due Dates
Under the Advanced Rules, you can select a certain Parent Group and/or Student Group for this specific Auto-Pay job.
Click Get Auto-Pay list at the bottom
Review the updated account list:
Only qualifying families remain selected
Charge amounts update automatically based on your selection
Run Auto-Pay as usual.
Additional Options and Behavior
Default Behavior (No Group Selected)
All families are included
All eligible students in each family are charged
Charges follow the selected payment option
Using Student Groups Only
Only students in the selected group are included in charges
Other students in the same family are excluded
Families without matching students are automatically unchecked
Using Parent Groups Only
Only parents assigned to the selected group are included
Other parent accounts are automatically unchecked
Using Parent and Student Groups Together
Only parents in the selected Parent Group with students in the selected Student Group are included
Charges apply only to qualifying students within those families
Troubleshooting
Problem: Parent Group dropdown is not visible
Solution: Confirm that Parent Groups are created in your system.
Problem: Some families are not included in Auto-Pay
Solution: Verify that:
The parent is assigned to the selected Parent Group
The student is assigned to the selected Student Group
Problem: Charge amount is lower than expected
Solution: Check if a Student Group filter is applied, which may exclude some students from the total.
Problem: No accounts are selected after applying filters
Solution: Ensure there is overlap between the selected Parent Group and Student Group.
FAQ
Can I run Auto-Pay without using groups?
Yes. Leave both group dropdowns unselected to charge all eligible accounts.
Can I use only one type of group?
Yes. You can use only Student Groups or only Parent Groups.
What happens if a family has multiple students but only one is in the group?
Only the student in the selected group will be included in the charge.
Do filters permanently change account settings?
No. Filters only affect the current Auto-Pay run.
