Purpose
Use this process to post tuition charges to multiple student accounts at the same time using a selected tuition configuration.
Prerequisites
Before posting tuition:
- Verify that tuition configurations are already set up.
- Confirm you have permission to post tuition transactions.
- Review student enrollments and billing settings for accuracy.
Post Tuition to Student Accounts
Navigate to More > Tuition & Statements.
Select Post Tuition to Accounts.
Choose a tuition posting method:
- Post Tuition by Date
- Post Tuition by Season
- Post Tuition by Date
Post Tuition by Date
Use this option to calculate tuition using a specific effective date.
This option is helpful when posting tuition for a future billing period because the system calculates tuition based on the selected date.
- Select Post Tuition by Date.
- Enter the calculation date.
Select the appropriate tuition configuration.
Post Tuition by Season
Use this option to calculate tuition based on a selected season.
- Select Post Tuition by Season.
- Choose the appropriate season.
- Select the tuition configuration.
Configure Transaction Details
- Complete the available Transaction Details fields.
- Review the blue Current Configuration summary box to confirm the posting settings are correct.
- Select Get Student List.
Review and Filter the Student List
After generating the student list, review the students included in the tuition posting.
You can further filter the list by:
- Location
- Class
- Balance
- Group
- Review the generated student list.
- Apply any necessary filters.
- Confirm the correct students are selected.
Post Tuition
Select Post Tuition to apply tuition charges to the selected student accounts.
- Wait for the posting process to complete.
After tuition is posted, additional options become available:
- Send Statements
- Undo
Send Statements is helpful if you want to notify your customers that tuition has just been posted.
Undo a Tuition Posting
Use the Undo option to reverse a tuition posting if:
- Tuition was posted twice
- An incorrect date was used
- The memo contains errors
- Incorrect settings were selected
- Select Undo.
Open the dropdown menu.
- Select the tuition posting date to reverse.
- Select the black Undo button.
Troubleshooting
Problem: Students are missing from the generated list
Solution:
Verify the selected tuition configuration, season/date selection, and any applied filters.
Problem: Tuition amounts appear incorrect
Solution:
Confirm the calculation date, tuition configuration, and student enrollment information before posting.
Problem: The Undo option is unavailable
Solution:
Verify that a tuition posting was successfully completed.
FAQ
Can I post tuition for a future date?
Yes. Use the Post Tuition by Date option and select the future calculation date.
Can I filter which students receive tuition postings?
Yes. After generating the student list, you can filter by location, class, balance, or group.
Does Undo remove all tuition transactions from that posting?
Yes. The Undo option reverses the selected tuition posting batch.
Can I send statements immediately after posting tuition?
Yes. After posting tuition, you can select Send Statements to notify customers.

above it says "You are given several options to Post Tuition by location groups and seasons." However, there doesn't seem to be a choice to choose by season which is what I am needing to do?
